Policies & Procedures

At British Triathlon, we prioritise transparency, integrity, and accountability. From registration and enrolment to data privacy and code of conduct, we have established comprehensive policies to uphold the highest standards of professionalism and ensure a safe and inclusive learning environment. Terms and Conditions 

Terms and conditions apply to all our courses and workshops. These terms and conditions can be found within the description of each course on our website. While the information provided below offers a general summary, we strongly recommend reviewing the specific terms and conditions for the course you are interested in. The terms and conditions outline important details regarding registration, payment, cancellation, rescheduling, and other relevant policies. By familiarising yourself with the terms and conditions, you can ensure a smooth and informed experience when enrolling in our courses. 

Entry Requirements 

  • Application is made via the online enrolment system.  

  • Applicants must be in possession of a valid Home Nation Membership Core or Ultimate (except where specified). 

  • Applicant must be of the age as stated in the course description. 

  • Applicants must have internet access for the duration of the course (unless otherwise stated). 

  • Applicants must be able to attend all course dates. 

Payment 

  • Payment must be paid at time of booking through the online enrolment system.  

  • Credit or debit card payments are the only available payment method. 

Additional Costs and Fees 

The course fees paid are based on a candidate completing the course in the normal route. Changes or amendments to an individual process can result in additional fees. A selection of these are detailed below: 

  • Loss of or change of name on certificate.

  • Re-registration (if qualification period expires).

  • Non-attendance of webinar or assessment day.

Course Applications 

  • Places are offered on a first come, first served basis to applicants. If a course is over-subscribed, you can contact your regional manager or the coaching team to register an interest in future courses. 

  • Closing date for applications will be 14 days before the course start date, or when all available places are booked. 

Course Confirmation 

  • Confirmation will be emailed to you on completion of the online enrolment. 

  • Final details regarding venue, timings, equipment required etc. will be emailed to you approximately 10 working days before commencement of the course. 

  • Please ensure that the email listed on your membership profile is correct. 

  • Please note that all courses will run under Government and British Triathlon Guidance. 

Cancellation and Amendment charges 

Courses are funded directly by attendees; it is not possible to offer a flexible approach to course attendance due to strict learner ratios. Our cancellation and refund policy is below: 

Up to 28 days before course commences (this could be either a webinar or practical session - whichever is first): 

A refund will be given minus the online booking and administration fee of £30. 

Less than 28 days before course commences: 

No refund or transfer to another course either entirely or partly. 

On commencement of all courses: 

No refund or transfer to another course either entirely or partly. 

All days must be attended, and any missed parts of the course will require additional payment to complete again. 

IF WE ARE REQUIRED TO CANCEL COURSES, OUR LIABILITY WILL BE LIMITED TO A FULL REFUND OF THE COURSE FEES PAID, UNDER NO CIRCUMSTANCES WILL WE BE RESPONSIBLE FOR ANY FURTHER LOSS. 


Data Protection 

On application a record is generated the for course you have applied for. This is only shared with the course organiser and tutors.  Please note we work with UK Coaching on our Safeguarding Courses and RLSS for our First Aid training. On certification your membership record is updated with your coaching qualification. An individual’s status as a coach can be confirmed to a third party upon request. 


Membership and Insurance 

Your membership includes professional indemnity and public liability insurance to cover you as a coach, activator or leader; during the course this will allow you to carry out the required practical learning experience to complete your qualification or award.  From commencement of the course learners will be defined as a trainee. 

Trainee coaches, activators and leaders should not exceed the course remit until they are certified. It is important to maintain your membership to ensure this cover remains in place. 

All coaches, activators and leaders (over the age of 18) must complete safeguarding training which can be done before or during your course, however, must in place prior to completion of your course. This is an extra cost of up to £33. Without this, you will not be sanctioned or insured to deliver once qualified to do so. For further details see here.

Coaching Guidelines 

To ensure the delivery of safe and engaging sessions, British Triathlon has developed a comprehensive set of guidelines for coaches, activators and leaders. These guidelines provide valuable insights and recommendations on various factors, including environments, remits, and appropriate participant ratios. These guidelines serve as a valuable resource to coaches, activators and leaders empowering them to create a secure and inclusive environment. For those with access to the Learning Hub, the guidelines can be conveniently accessed within the platform. However, for those without access, PDF versions of the guidelines is available here. By following these guidelines, coaches, activators and leaders can confidently deliver sessions that prioritise the safety and well-being of all participants.

Coaching Code of Practice 

As part of their qualification or award, all coaches, activators and leaders are required to sign up to the Code of Practice. This code serves as a professional standard that outlines the expected behaviour and ethical principles for individuals in these roles. It ensures that coaches, activators and leaders maintain the highest standards of integrity, respect, and inclusivity while carrying out their responsibilities. The Code of Practice is a crucial component of our commitment to upholding professional standards within the triathlon community. By adhering to this code, coaches, activators and leaders play an essential role in creating a positive and supportive environment for all participants in the sport of triathlon.

Fair Assessment 

We take pride in our commitment to fair assessment practices to ensure a transparent and equitable evaluation process. As such, we have implemented a comprehensive Fair Assessment Policy that outlines our approach to assessment and grading. This policy provides clear guidelines and procedures to ensure that all learners are evaluated fairly and consistently. Health and Safety 

We prioritise the health and safety of all learners in our courses and events. As part of our commitment to ensuring a safe environment, we have developed a robust Health and Safety Policy. This policy outlines our comprehensive approach to risk management and sets forth guidelines to minimise potential hazards. We conduct thorough risk assessments of all our course venues to identify and address any potential risks. It is our utmost priority to provide a secure and protected learning environment for everyone involved.
